Worksheet Studio data and privacy, in plain English
Your school's questions and worksheets belong to your school. This page explains who can see them, how photos are turned into questions, what we keep and for how long, and how to take everything with you.
Who can see your school's data
- Only your teachers. Your question bank is private to your school and shared within your department. Other schools, Photon students and the public cannot see it.
- Each teacher sees their own subjects. Private worksheets stay private to the teacher unless they share them with the department.
- Never reused. Your questions are never copied into Photon's bank, never shared or sold, and never used to make drafts for anyone else.
Photon support access
Photon staff cannot open your bank. If your school wants our help with something in it, a school admin can turn on support access for a set number of days (up to 14). Support can then view, never edit, your questions until it switches itself off. Every view is recorded in an access log your school admin can see and download.
Honest small print: as with any cloud service, a very small number of Photon engineers can technically reach the database for maintenance and emergencies. They are bound by contract not to view school content, and any such access would be reported to the school.
Turning a photo into a question
Teachers can photograph or scan a printed question, or upload a PDF, and the Studio turns it into editable LaTeX. Here is what happens to the image:
- It is uploaded over an encrypted connection to Photon's private storage in Singapore. Location data is removed first.
- It is sent to our AI provider, outside Singapore, only to read the question. The AI does not solve it and does not invent text it cannot read.
- Images are processed by our AI provider under commercial terms that exclude training on your data. The provider's published policy is to delete them within 30 days, unless its safety systems flag content or the law requires it to keep them longer. We do not claim zero retention.
- The result comes back as a draft. A teacher checks every line and nothing enters your bank until they approve it.
What we keep, and for how long

Uploaded images and drafts are visible only to the teacher who uploaded them and your school admin.
Take it with you, or delete it
A school admin can download everything at any time as one .zip: every question as LaTeX and JSON (drafts included), shared worksheets, cover templates and branding. They can also delete selected questions, or the whole school bank.
School Data Agreement
Each school signs a School Data Agreement that puts these commitments in writing. It is being finalised as part of our pilots; ask us for the current draft.
